Terms and Conditions

1. Pricing & Bookings

All prices are listed in EUR. To secure a booking, a deposit of 30% is required. The remaining balance must be paid no later than 60 days before departure. For shorter trips (three days or less), full payment is required 30 days before departure.

Once we receive your deposit, we will send a written confirmation. Please note that confirming availability alone does not constitute a secured booking. If the deposit is not received within the agreed timeframe, the booking will be considered cancelled. Similarly, if the balance payment is not received on time, the booking will be cancelled without a refund.

We reserve the right to update prices and correct errors before a trip is confirmed. Additional charges may apply for payments made via credit card, depending on the card issuer.

2. Cancellation Policy & Refund terms

The cancellation fees outlined below apply depending on when the cancellation is made and the specific type of booking.

Refunds are calculated based on the total trip cost rather than the deposit amount. The trip cost includes all payments made to us by the client, as well as any remaining payments due before the trip begins. Booking fees are not included in this calculation.

Cancellation Fees for Multi-Day Tours or Activities:

• Cancellations made 60 days or more before departure: 70% of the total trip cost will be refunded.
• Cancellations made between 31 and 60 days before departure: 25% of the total trip cost will be refunded.
• Cancellations made less than 30 days before departure or in case of a no-show: No refund will be issued.

Important Refund Conditions

Refunds cannot exceed the total amount paid at the time of cancellation. Any outstanding balance owed will be deducted from the refund. If there is any remaining payment due, it will be subtracted before processing the refund.

Example Scenario:

If you have paid only a 30% deposit and cancel 65 days before departure, you will not receive a refund since 70% of the total trip cost is still unpaid. However, if you have already paid the full amount, you will receive a 70% refund.

Payment of the Remaining Balance:

• The client agrees to settle the full amount for the trip at 60 days prior to the scheduled departure date.
• If the client fails to settle the remaining balance within the aforementioned timeframe, the reservation will be considered canceled, and the cancellation terms outlined in this policy will apply.
• In the event that the remaining balance is paid after this deadline but before departure, the agency will determine any additional fees due to late payment.

Recommendation for Cancellation Insurance

We recommend purchasing cancellation insurance, which allows for the reimbursement of costs in case of an unexpected cancellation.

3. Changes to Your Trip

VAI PAZ d.o.o. may modify itineraries when necessary due to weather conditions, road closures, accommodation availability, or other unforeseen circumstances. We will strive to provide alternatives where possible.

4. Travel Insurance

Travel insurance is essential and should cover medical emergencies, trip cancellations, lost property, and emergency evacuations. It is the traveller's responsibility to ensure their policy is adequate for the planned activities.

5. Health & Fitness

By booking a trip, you confirm that you are in good physical and mental condition to participate. If you have any medical conditions that may affect your ability to complete the trip, you must inform us prior to booking. Failure to disclose relevant health information may result in cancellation without refund.

6. Passport & Visa Requirements

It is the traveller's responsibility to ensure they have valid passports and necessary visas. Requirements may change, and VAI PAZ d.o.o. is not liable for entry denials due to incorrect documentation.

7. Assumption of Risk

By participating in a tour with VAI PAZ d.o.o., you acknowledge the inherent risks associated with adventure travel, such as physical exertion, environmental conditions, and possible injuries. While we prioritize safety, it is impossible to eliminate all risks. Clients assume full responsibility for their safety, particularly during self-guided tours.

8. Liability Waiver

You accept all associated risks and agree to release VAI PAZ d.o.o. from any liability related to injuries, property loss, or other damages incurred during the trip. You agree not to pursue legal action against us for financial or emotional distress arising from your participation.

9. Complaints

If you experience any issues during your trip, please inform your guide or trip coordinator immediately. If the problem is unresolved, contact us directly. Complaints must be submitted in writing within seven days after the trip concludes. Any legal disputes will be handled under Slovenian law.

10. Media & Promotion

During the trip, photos and videos may be taken for promotional purposes. By participating, you grant VAI PAZ d.o.o. the right to use such material. If you prefer not to be included, please notify us in advance.

11. Website Information

We strive to provide accurate details on our website, but occasional errors or updates may occur. Clients should verify all trip details before booking.

12. Payment & Restrictions

We do not accept bookings from individuals in OFAC-sanctioned countries, including Cuba, Iran, North Korea, and Russian-occupied areas of Ukraine.
